The City of Des Peres (Population 8,373, $21 million budget, 102 FT Employees) is accepting applications for the position of Administrative Associate for the Public Works Department. This position, which operates under the general supervision of the Public Works Director, performs clerical, customer service, and administrative support functions for the Department and associated boards and commissions.  The incumbent is retiring after eighteen years of service.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Prepares correspondence, code enforcement letters, reports and other documents assuring accuracy and timeliness.
  • Secures signatures and finalizes vendor contracts for various Public Works projects.  
  • Provides professional customer service by responding to routine inquiries for information.
  • Serves as liaison between trash hauler and residents.
  • Prepares purchase orders for department in conjunction with Department of Finance.
  • Assists in preparation of building permits, processes permit applications, collects payment and works with contractors and homeowners to schedule inspections.
  • Handles, tracks and refunds security deposits for active building permits.

 

KNOWLEDGE SKILLS AND ABILITIES:

 

  • Must be able to communicate with tact and diplomacy in dealing with residents, builders, and other applicants.
  • Must be able to speak and write in a professional manner.
  • Perform basic arithmetic/mathematical calculations.
  • Demonstrate a high level of integrity and dependability with ability to maintain confidential information.
  • Must be able to utilize standard and specialized office software at an intermediate level including Microsoft Office, InCode or other department-related software.
  • Utilize tools and equipment common in an office environment including, but not limited to; computers, telephone, copy machine, credit card reader, and calculators.
  • Comply with all city and departmental policies and procedures.
  • Carry out written or oral instructions and to perform repetitive or routine tasks without instruction or supervision.
  • Superior attention to detail and accuracy in numbers.

 

MINIMUM TRAINING AND EXPERIENCE REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS:

 

High School diploma or GED.  A minimum of one (1) year of clerical experience. Related post-secondary education may substitute for some experience.

 

PHYSICAL DEMANDS:

Primary functions require sufficient ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (5-10 pounds); to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. Will spend a large amount of time viewing a computer screen. Vision and hearing must be in the normal range with or without correction.

 

WORKING CONDITIONS:

Normal office environment.  Tasks are performed without exposure to adverse environmental conditions. Frequent interaction with elected officials, City staff and general public.
